GEEK QUEEN QUOTE TERMS AND FINE PRINT FOR PROJECTS
EVERYTHING YOU NEED TO KNOW
QUOTE TERMS
I will provide you with a firm quote that contains a complete list of items that I will be developing for or adding to your website. This quote will become our scope of works once it is accepted. Any work outside this scope will be quoted separately and must be agreed to prior to work commencing.
As part of this quote I will provide a starting date for your project and an expected time frame. This time frame is based on the principle that you will supply all items, materials, images, content and any thing else asked for as part of the website or logo development process PRIOR to 1 week from our starting date.
You will need to understand that if these articles are not supplied in a timely manner it will extend the end date of the project and I will not be held responsible. Please read the Scheduling section below.
Acceptance of my quote must be in writing. All quotes are exclusive of GST. GST will be added to the quote I've given you here, or if it is a custom project I will make you aware of the price before and including GST.
PAYMENT TERMS
During any design process the primary work load comes at the start of the project. With this in mind, for all projects under $1000 full payment up front is required.
Projects that have a quoted cost greater than $1000 and less than $1500
- Deposit of $1000 is required.
- Balance of project is required on completion, prior to the project going live (if it is a website), or prior to final files being delivered for other design projects.
Projects that have a quoted cost greater than $1500 and less than $3000
- 50% deposit prior to the project commencing.
- 25% required at 30 days from the projects commencement date.
- Balance of project is required on completion, prior to the project going live (if it is a website), or prior to final files being delivered for other design projects.
Projects that have a quoted cost greater than $3000
- 50% deposit prior to the project commencing.
- Payment plan as discussed and agreed to with the quote.
WEDDING PHOTO EDITS PAYMENTS
Before I commence any editing of photos, I will require a deposit of $90 + gst. This $90 covers the cost of me applying the editing style you have requested to 4 images from your photos. I choose these photos based on how unique they are and to give you a good example of how the edit will apply to a variety of images.
This enables you to see what the images will look like and how it may very from image to image. This deposit is non refundable, however it will come off your quoted price once we both agree to proceed.
These 4 images will be supplied in a very condensed format and won't be usable in any way for printing. Honestly, you wouldn't believe the length people will go to to get some photos enhanced for free!
Projects for photo editing that are under $1000 (excluding GST) will need to be paid in advance AFTER you agree to the 4 images I provide.
Projects over $1000 + gst will require a $1000 deposit prior to me commencing work and the final amount will be paid prior to the images being handed over.
ALL PHOTO EDITING PROJECTS WILL NEED TO BE PAID IN FULL PRIOR TO THE EDITED IMAGES BEING SUPPLIED.
I will upload a sample of the edited images with watermarks so you can see that I have in fact done what I said I would. At that point, final payment will be due. After this payment is received I will upload the full size images to our shared folder.
Sadly I have had more than a few photographers and brides try and get free editing done so I'm very strict on my payment schedule now.
PROJECT SCHEDULING
Upon acceptance of my quote, you will be provided with available dates for your project development. You will need to provide confirmation in writing of which time block you would like to take. Once this is allocated, it must be adhered to.
I always recommend a 6 week grace period to allow you to collect all your assets together such as text, images, product information, product photos, legal documents and anything else that is required to develop your website. Collecting this info is always a lot more work than clients understand and I can't stress enough that it's not a 5 minute thing.
Your time block will be confirmed 14 days prior and any failure to meet this allocated time will result in a $500 AUD + gst rebooking fee for information based websites & photo editing projects and a $1000 fee for eCommerce websites. This fee is non refundable and is in addition to any quoted price for your website fee.
I know I seem very strict, and I have to be. This is my work and sadly there are always people who assume that I can just fit to their timeline with no consequence. That isn't the case. If you can't meet the timeline that is no challenge to change for free prior to 14 days out. After that the fee will need to be paid before you can rebook. I can't afford not to work for 2 weeks because a client isn't ready. I'm sure you will agree that just isn't fair.
NB: Once we have moved into your allocated time slot and commenced the design process your deposit will become non refundable.
REFUNDS
I am very committed to creating your website or branding project to your complete satisfaction.
While I want you to LOVE your new website, if you should have any challenges that we cannot resolve, provided I have performed the work I've quoted to do, no refunds will be given .
There will be situations where I may feel I'm not the right fit for you, or you may decide that yourself, however if we have moved into the project phase and I have started work I will be happy to sit down and talk to you about where we go from there.
Once initial designs have been presented, the 50% deposit will not be refunded. Once those designs have been agreed to, the full project payment amount will not be negotiated and no refunds will be given.
ONGOING COSTS
There are ongoing costs with any website. Ongoing hosting charges are not included in my website quote, however I will specify what they will be. You may choose to pay these monthly or annually, with an annual payment receiving a 10% discount off the total fee for a 12 month period.
Any payment gateway charges or % charges from native payment gateways are your responsibility.
These may be, but won't be limited to:
- Ongoing monthly or annual hosting charges for your website
- Annual SSL certificate fees
- Your own payment gateway charges
- % of sale charges for native payment gateways
- Domain renewal charges
- Email Marketing solution fees
- Annual integration fees
While I make every attempt to disclose these fees during the quote process, on occasion extra's arise due to a change during the website development. If that is the case an "extras" invoice will be forwarded prior to any extra being added.
MOVING AWAY FROM GEEK QUEEN
All websites are build through an agency account I have with my platform of choice.
Once a website has been built, it is not able to be moved away from my account and into an account of your own at a moments notice. Yes it can be moved however you will have to create an account with the platform I use for it to be transferred to and the move can take 10-14 days. This isn't my timeline, its the platforms.
IF you would like to keep your website on your own account, I need to know this prior to starting development. This may also result in an increase of ongoing hosting fees as you won't benefit from my agency discount.
While you do own all the content inside your website, the design cannot be "extracted" and moved to a new provider.
All platforms (Wordpress, Shopify, Wix, Weebly etc) build websites on top of their platform. You can't take a Shopify website and move it to Wordpress and the same applies here. I can extract your website HTML and CSS into a folder for a new designer to see but it won't be able to be installed on another platform.
